Automotive Warranty Cancellation Clerk
The Automotive Warranty Cancellation Clerk performs a wide range of administrative and office support duties associated with vehicle warranties. They ensure the dealership is paid for all warranty work in an accurate and timely fashion by preparing, flagging, submitting, and following up on each claim.
The Clerk coordinates with vendors and manufacturers to ensure prompt receipt of replacement parts, schedules warranty appointments, and educates customers to set expectations. In addition, they keep abreast of all factory recalls, announcements, and procedures.
The ideal candidate has Ford experience and Reynolds experience is preferred. They can work in a fast-paced and challenging environment handling multiple projects and must have excellent administrative, organizational, and communication skills and strong math and computer skills.

Responsibilities
- Communicates with customers and service technicians to define the scope of a warranty claim resolution and to set expectations
- Prepares, reviews, and processes warranty claims
- Follows up with each claim to ensure service delivery to the customer and compensation for the dealership
- Processes cancellations and refunds for extended warranties & gap cancellations
- Provides administrative assistance as needed
- Provides timely and accurate reports as required
- Processes cancellations requested by lienholders, customers, or based on discrepancies in statements
- Collecting and ensuring proper documentation is received for the cancellation process
- Submitting extended warranties for activation and monthly reconcilliation
- Maintaining accurate records of cancellation and refunds or any related transactions
- Posting general ledger entries for cancellations and refunds, keeping all warranty, gap accounting schedules up to date with notes, processing cancellations & discrepancies in a timely manner
- Understanding and processing cancellations from reserve statements submitted to the dealer from lien holders
- Will be working with Reynolds, Endurance, and US Warranty Protective
- Performs other duties as assigned
Requirements
- High school diploma or GED
- Dealership experience required
- Reynolds experience preferred
- Ford experience preferred
- Highly professional and dependable
- Strong computer and internet skills, including Microsoft Suite
- Strong attention to detail and interest in accuracy
- Able to work independently with minimal supervision
- Helpful attitude and friendly demeanor
