Job Summary:

The Front Desk Representative is the first point of contact for guests and clients visiting the office. This role is essential for providing exceptional customer service and administrative support to ensure smooth office operations. The ideal candidate is friendly, organized, and efficient, ensuring all inquiries are handled professionally and timely.

Key Responsibilities:

  • Greet and Welcome Visitors: Warmly greet all visitors, clients, and employees, directing them to the appropriate departments or personnel.
  • Administrative Support: Provide administrative assistance such as scheduling appointments, maintaining calendars, and handling email correspondence.
  • Manage Office Supplies: Monitor and order office supplies as needed to ensure the front desk and office areas remain stocked and functional.
  • Handle Mail and Packages: Receive, sort, and distribute mail, deliveries, and courier services.
  • Security and Safety Procedures: Ensure all visitors sign in and are issued visitor passes, maintain visitor logs, and assist in implementing safety protocols.
  • Maintain a Tidy Reception Area: Keep the front desk and lobby area clean, organized, and presentable at all times.
  • Assist with Office Events and Meetings: Support the preparation and coordination of internal meetings and events, including setup and guest coordination.
  • Provide Information: Answer questions about the company, location, or office hours, and provide other relevant information to visitors and staff.
Job Requirements:
  • High school diploma or GED required; associate degree or higher preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and a customer-focused mindset.
  • Ability to multitask and handle a fast-paced environment.
  • Proficiency with office technology, including phone systems, computers, and Microsoft Office Suite.
