AUTOMOTIVE ASSISTANT OFFICE MANAGER

THE POSITION: The Assistant Office Manager assists in the fair representation of the financial condition of the company, implements controls to ensure compliance, and completes the activities necessary either personally or through subordinates.

Skills & Qualifications:

  • Excellent organizational skills and strong attention to detail.
  • Excellent time management skills with a proven ability to prioritize and meet deadlines.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with Reynolds & Reynolds/Ignite System, or the ability to quickly learn.

Education and Experience:

  • Bachelor’s degree in accounting or related field preferred.
  • One year dealership experience preferred.
  • Working knowledge of dealership documents.

Essential Duties & Responsibilities:

  • Exercises of discretion and independent judgment regarding matters of significance.
  • Involved in the comparison and evaluation of possible courses of conduct and acting or making a decision after the various possibilities have been considered.
  • Assist in managing clerical schedules, train, and mentor, with positive influence, all positions in the office.
  • Coordinate daily driver runs effectively.
  • Communicate effectively, with corporate, regarding cash needs.
  • Prepare daily bank deposit.
  • Prepare daily cash report.
  • Reconcile and replenish cash boxes and petty cash.
  • Order office supplies, as needed.
  • Review AR schedules and ensure collection of accounts.
  • Submit and audit incentives.  Ensure timely collection.
  • Submit vehicle extended contracts monthly.
  • Post manual journal entries, counter tickets not posted by the computer system, and any other postings as required.
  • Maintain control of posted documents, including but limited to internal RO and counter ticket postings.
  • Work with office staff to ensure timely completion of assigned tasks.
  • Administer charge-back program for late charges to inventory.
  • Reconcile physical inventories monthly.
  • Reconcile open cash and tax accounts daily.
  • Assist in completion of annual review/audit.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times. 
  • Must be able to access and navigate each department at the organization’s facilities.
